University of Essex Online degree courses

University of Essex Online courses are validated by the University of Essex and delivered by Kaplan Open Learning (Essex) Limited. All financial transactions relating to University of Essex Online courses are carried out through Kaplan Open Learning (Essex) Limited, Company Registration Number 06245017


1. Application

All applicants must complete an application form and follow the Kaplan Open Learning (Essex) Limited admissions process.  Reasons for non-acceptance on a programme will not be disclosed. Anyone supplying false documents, false or incomplete information on the application form or in any other communications, verbal or written, is liable to suspension or expulsion from the course.

2. Acceptance

Acceptances must be on the official acceptance form and accompanied by the relevant documents by letter, fax or email. If acceptance has not been notified by the due date, non-acceptance of the offer will be deemed and the offer will lapse.

3. Fees and funding

Course fees are published on the University of Essex Online website. We are committed to maintaining fees at the current published level for course duration but reserve the right to make increases in the overall fees during courses to reflect inflation and changes in available higher education funding.

4. Payment undergraduate fees

If undergraduate tuition fees are financed through a tuition fee loan awarded by Student Finance England, a fully completed loan application must be submitted to Kaplan Open Learning (Essex) Limited for University of Essex Online courses prior to commencement of studies.

Kaplan Open Learning (Essex) Limited reserves the right to await confirmation of the loan award from Student Finance England before undergraduate studies can be commenced. If a loan application is rejected by Student Finance England after studies have commenced, students are liable for any fees already incurred, non-payment will result in withdrawal from the course.

In the first year of undergraduate study, all students will be charged the fee for the maximum allowed speed of study for part time students under tuition fee loan rules. This equates to 90 credits (six single modules) per annum. Variable fees based on the actual rate of study will be applied to subsequent years. If students wish to exceed the maximum allowed speed of study under tuition fee loan rules, further module fees must be financed by the students direct. No loan monies will be claimed by the Kaplan Open Learning (Essex) Limited from Student Finance England for students who submit a loan application but do not start a course.

For a 360-credit Bachelors degree, the full course fee will be claimed over a maximum period of six years regardless of pace of study. For a 240-credit Foundation degree or Diploma of Higher Education, the full course fee will be claimed over a maximum period of four years regardless of pace of study. For a 120-credit progression course to a Bachelors degree, the full course fee will be claimed over a maximum period of two years regardless of pace of study. For a 60-credit Certificate of Continuing Education, the full course fee will be claimed over a maximum period of one year regardless of pace of study.

Tuition fee loans are not available for students residing outside England. Information on repayments of tuition fee loans is available on the Student Finance England website.

If undergraduate tuition fees are paid by students or employers, payment can be made by module (15 credits) or by level (120 credits). To enrol, a minimum payment of one single module fee is required before commencement of studies/module.

Employer credit facilities are subject to the discretion of Kaplan Open Learning (Essex) Limited and must be approved in writing prior to course commencement. Dishonoured cheques will result in a charge of £25 to cover administration and bank charges.

Students are responsible for all bank transaction fees charged in relation to the payment of undergraduate tuition fees.

5. Payment of postgraduate tuition fees

If postgraduate tuition fees are paid by students or employers, payment can be made by module or in full up front. To enrol, a minimum payment of one single module fee is required before commencement of studies/module.

Employer credit facilities are subject to the discretion of Kaplan Open Learning (Essex) Limited and must be approved in writing prior to course commencement. Dishonoured cheques will result in a charge of £25 to cover administration and bank charges.

Students are responsible for all bank transaction fees charged in relation to the payment of postgraduate tuition fees.

6. Undergraduate course cancellation by students

Undergraduate course cancellations or suspensions of studies must be requested formally by e-mail to the student’s dedicated adviser or support@kaplanopenlearning.co.uk. If no such request is received, students will be deemed active on the course.

Once a student's undergraduate course attendance has been confirmed to Student Finance England by Kaplan Open Learning (Essex) Limited, the first instalment of 25% of the tuition fee declared on the students loan application form will be claimed regardless of cancellation or suspension of studies. Claims for future instalments will be made for commenced or completed modules regardless of cancellation of course or suspension of studies. Under no circumstances will tuition fee loans be refunded to students.

If undergraduate tuition fees are paid direct by students or employers to Kaplan Open Learning (Essex) Limited and a cancellation is subsequently received, no refunds will be made for commenced modules. If payment was made for modules in advance, all fees paid for uncommenced modules will be refunded in full to the paying party within one calendar month of cancellation notice being received. Attendance at the welcome week constitutes commencement of the first undergraduate module.

If undergraduate tuition fees are paid via an initial deposit followed by monthly instalments (this payment method is not available in the UK) no refund will be given.

7. Postgraduate course cancellation by students

Postgraduate course cancellations or suspensions of studies must be requested formally by e-mail to the student’s dedicated adviser or support@kaplanopenlearning.co.uk. If no such request is received, students will be deemed active on the course.

If postgraduate tuition fees are paid per module directly by students or employers to Kaplan Open Learning (Essex) Limited and a cancellation is subsequently received, no refunds will be made for commenced modules.

If postgraduate tuition fees are paid in full up front directly by students or employers to Kaplan Open Learning (Essex) Limited (taking advantage of a discount) and a cancellation is subsequently received, all fees paid for uncommenced modules less a cancellation fee (£825 for MSc programmes and £1200 for MBA programmes) will be refunded to the paying party within one calendar month of cancellation notice being received.

If postgraduate tuition fees are paid via an initial deposit followed by monthly instalments (this payment method is not available in the UK) no refund will be given.

8. Course cancellation by Kaplan Open Learning (Essex) Limited

Kaplan Open Learning (Essex) Limited reserves the right to:

a) Cancel any course prior to the published commencement date of the course, in which case an alternative start date or full refund will be offered.

b) Change published module start dates, in which case an alternative start date will be offered. No refund will be made.

c) Withdraw courses, levels and/or modules at any time if for any reason the course is not viable. In these circumstances Kaplan Open Learning (Essex) Limited will use reasonable endeavours to make appropriate arrangements for continuation of studies. If the alternatives offered are not acceptable to the student and payment for the withdrawn modules has already been made, a refund for the withdrawn modules will be offered.

9. Accreditation of prior learning (credit transfers)

A non-refundable APL assessment charge of £50 will be made on every occasion a student requests a prior qualification to be mapped against a University of Essex Online course. Some professional accountancy qualifications are excluded from exemption charges; please contact us for more details.

10. Computer Equipment

Computer equipment and internet access costs are not included in our course fees and are the responsibility of students.

11. Conduct

Students must not make their online passwords available to any third parties.  Courses are not transferable between students.

Kaplan Open Learning (Essex) Limited reserve the right to require students to leave the course (without a refund) at any stage if students are in breach of any of Kaplan Open Learning (Essex) Limited academic or other policies, are guilty of inappropriate conduct or behaviour or of acting, in our view, in any way which detrimentally affects the learning experience of others or other circumstances apply which Kaplan Open Learning (Essex) Limited deem unacceptable.

Kaplan Open Learning (Essex) Limited also reserve the right to require students to leave the course at any stage if their payments for modules are not up to date.

No fees are refundable in any of the foregoing circumstances unless Kaplan Open Learning (Essex) Limited determine that bona fide extenuating circumstances apply in which Kaplan Open Learning (Essex) Limited are prepared to exercise discretion.

12. Course duration and completion

Students must complete courses within the maximum allowed periods of study outlined in our Rules of Assessment.  These are six years for a 240-credit Foundation degree, three years for a 120-credit progression course to a Bachelors degree, nine years for a 360-credit Bachelors degree and six years for a 180-credit Masters degree. In any year of study, a student must complete a minimum of 15 credits.  If a student fails to complete within these time frames, then their study will be terminated without liability on our part and any funds received but not utilised in accordance with these terms and conditions will be forfeited to Kaplan Open Learning (Essex) Limited.

If students are funding their fees through tuition fee loans, the rate of study must be a minimum of 30 credits and a maximum of 90 credits in any year of study.

13. Academic conduct

Students agree to be bound by Kaplan Open Learning (Essex) Limited rules and University of Essex rules relating to conduct, plagiarism, attendance, academic appeals and others detailed at induction and available on the learning platform.

14. Liability

While Kaplan Open Learning (Essex) Limited endeavour to ensure that the information on the University of Essex Online website is correct, Kaplan Open Learning (Essex) Limited do not warrant the accuracy and completeness of the material on the site or in our prospectus. Kaplan Open Learning (Essex) Limited may make changes to the material on the site or to the products and prices described in it at any time without notice, although Kaplan Open Learning (Essex) Limited will provide notice of substantive changes to our Privacy Policy. The material on the site is provided “as is,” without any conditions, warranties, or other terms of any kind. Accordingly, to the maximum extent permitted by law, the University of Essex Online site is provided on the basis that Kaplan Open Learning (Essex) Limited exclude all representations, warranties, conditions and other terms (including, without limitation, the conditions implied by law of satisfactory quality, fitness for purpose and the use of reasonable care and skill) which but for this legal notice might have effect in relation to the University of Essex Online site.

Kaplan Open Learning (Essex) Limited and any of our group companies, and their officers, directors, employees, shareholders or agents of any kind, exclude all liability and responsibility for any amount or kind of loss or damage that may result to students or any third party (including, without limitation, any direct, indirect, punitive or consequential loss or damages, or any loss of income, profits, goodwill, data, contracts, use of money, or loss or damages arising from or connected in any way to business interruption, and whether in tort (including without limitation negligence), contract or otherwise) in connection with the University of Essex Online site in any way or in connection with the use, inability to use or the results of use of the University of Essex Online site, any websites linked to the University of Essex Online site, or the material on such websites, including, but not limited to, loss or damage due to viruses that may infect computer equipment, software, data, or other property on account of access to, use of, or browsing the University of Essex Online site or downloading of any material from the University of Essex Online site or any websites linked to the University of Essex Online site. If your use of the material on the University of Essex Online site results in the need for servicing, repair or correction of equipment, software, or data, you assume all costs thereof.

Nothing in this legal notice shall exclude or limit our liability for: (a) death or personal injury caused by negligence (as such term is defined by the Unfair Contract Terms Act 1977); or (b) fraud; or (c) any liability that cannot be excluded or limited under applicable law.

15. Variation

No variation to these terms and conditions will be valid unless agreed in writing by Kaplan Open Learning (Essex) Limited, provided always that Kaplan Open Learning (Essex) Limited reserve the right to make any addition, amendment or alteration to these terms and conditions upon giving one module’s written notice of such change to all affected students.

Kaplan Open Learning (Essex) Limited may also, by written notice, vary terms and conditions of enrolment with immediate effect as may be necessary to comply with any law or funding regulations.

16. Governing Law

Students’ arrangements with Kaplan Open Learning (Essex) Limited are governed by English law.

17. Data Protection

Students are subject to our privacy policy, details of which are published on the University of Essex Online website.

18. Student Declaration

In signing the application form students declare that the information supplied on the form is complete and correct and that the giving of false or incomplete information may lead to the refusal of application or cancellation of enrolment.

Students give permission for Kaplan Open Learning (Essex) Limited to obtain official records from any educational institution attended by them and authorise Kaplan Open Learning (Essex) Limited to supply any relevant official records to the University of Essex and to government bodies.
